There is a local event coordinator who needs to rent an embroidery machine with operator for 3 days. It would require us to move our PR600 and set it up on Thursday, leave it off site through Saturday, and come back Saturday night. They will also require 8 hours a day of operation - for name drops.

What would you charge? What are the pitfalls?
Yes - I have other machines here to pick up the slack.

Contact your insurance agent and make sure you're covered.

I've never done anything like this before but you if you do a percentage you don't know how many names will be sewn and after paying the operator you could lose out.
I would lean towards a flat rate per hour, if you are paying the operator. That way you cover all your costs and inconvience of transporting the machine. Also think of your deductable in case the machine is damaged.
I would make sure that having my business cards on display is part of the deal.

Thanks. They've given me hours - based on that, the risk to my equipment, the hassle to move it, I've given them a flat rate quote. We'll see what they do with it.

Didn't think of the business card display, though - you're right - that would help.

do they know how to run the equipment without damaging it? who's going to "fix" things during the day if they hit a snag? why not just make them an offer to be the one there yourself and not only run the machine, but maybe pick up some new customers by talking to the folks that have items embroidered?

don't know I'd leave a machine where I don't know what could happen to it without a garuntee in writing that they would replace the machine outright.
