Default Attending an Expo. What to bring?

There is a large possibility that I will be attending a game expo and I am compiling a list of what all I need to bring.

I will update this post when I establish a quality list. Would anyone have things to contribute?

Everything should be based on what is cost effective or necessary. Also, there is suppose to be around 20,000 people attending.


First off the event is providing:

10 x 20 Booth - $3,500, includes 8 Exhibitor Badges
-we plan on possibly splitting this booth with another exhibitor so the price would be $1750 or we will go with the below option.

Turnkey Exhibit Option*
–10 x 10 Booth - $3,200
–Includes 6 Badges, set-up and demo costs along with:
–Sign w/ company name, city, state, booth #
–8’ high fabric backing
–3’ high fabric sides
–1 each 6’x30” table with skirting
–2 Folding Chairs
–Booth outlet (single electrical unit)

A couple of cheap options that could be affective
•Show Bag Inserts - $650
–Your print collateral or premiums in the official attendee bag, 20,000 bags total.
-How affective was your show bag experience?

•Advertisements in GameX Program (B&W or Full Color)

20,000 printed programs: $300 to $2,000

So far we will bring about a 1000 shirts. Probably more once we calculate costs.

We will also print a small amount of each design to have with our partner who is staying home, that way he can cover the website just in case.

If we don't go with the turnkey exhibit option, we need to bring:

-Two tables
-Curtains to go around the table, or banner for the front.
-Banner for the back wall with company name
-5000 checkpoint flyers. (good number?)
-TV to display modeled pictures and montages of games.
-Cash box
-Credit card machine?
-Plastic containers for the t-shirts
-Something to display the shirts on the wall surrounding the back wall banner

What else do you guys recommend to bring?

I wouldn't exactly call buying 20,000 give-a-ways for the show bag a cheap option.

Yea I know what you mean about it not being a cheap option. What I meant by that is that it was the cheapest option they offer. I think I will probably buy my own fliers and hand them out or have someone stand at the door to give to people.

I am a co-owner of Checkpoint. We offer gamers a little piece of gaming mixed with mainstream styles of today. We are looking to provide a more in style clothing line for casual and competitive gamers alike. We will be selling our shirts at the event.

Any good ideas? I plan on making this thread an easy go to for everything you should need if you go to ANY event.

  • a really simple form for them to fill out and order their shirts - from you.
  • a duplicate book, ready with your details on - via sticky labels or printed really useful for notes/quotes and your potential customer gets a copy
  • a "tool box" cellotape, double sided tape - as many pens as you need then add 10 - they always go missing !
  • business cards
  • back up of anything you are doing via the computer - they love crashing at big events - trust me i know
as for displaying the shirts, you could fold them over a square, and then join the squares up to make a chequer board effect - you get lots of t shirts shown off in a cool way

Very nice idea! I thought about creating a unique display table to show them off, but that might not be doable because I'm not sure how much it is going to cost to ship everything to the event yet.

if you have any old t's you have stuffed up, i normally print on the back of them, after all you only need the square that is showing, you you dont always have to use a whole T

Are you talking about old tees you printed on?


We thought to giveaway fliers at the event instead of paying to have fliers in the bag. That way people actually take a brief second to look at it, instead of just dumping them out of their bags and throwing them away.

Come on people, I know you have some experience to share with the event newbies.

Unsure where the gaming convention is, but if you don't do the turnkey thing, you may still have to hire union labor to set everything up.

The key to events like this is drawing the crowd to your booth. Even if it is something simple like having a candy jar on your table with some kisses in it. Or "Drop off your business card, enter a raffle for an Ipod drawing". This would have a larger impact than stuffing 20K flyers in bags and it would be a lot cheaper to do.

Printing up 20,000 flyers for the bag, when only 10% of the people will look at them, is a waste of money in my opinion.

really agree with splathead, how many expo's have you attended, where you get given a bag full of stuff on the way in, and a few weeks later its out in the rubbish not even looked at. if you wanted something really different, get some paper cut in t shapes (only note pad size) get people to "express themselves" using felt tips whatever, then have a pinboard and stick them up - it might be a love message/ hi/hello/anti war/gov/people/gamers/ whatever, but it would draw people over to have a look

yes i did mean t's we have made a mistake on, i often re-use the back or lower down the front to make up the cubes, afterall no one is going to see the reverse of the patchwork

That is a pretty sweet idea! We are thinking about doing some headphones or controller giveaways every few hours or so. I think that would give a bit more incentive to buy some of our stuff.
