How do you guesstimate the amount of sweatshirts to buy for an event?

Question How do you guesstimate the amount of sweatshirts to buy for an event?

So my first sporting event is coming up. There will be 200 youth players and 150+ family members. I'm buying long sleeve t-shirts and pull over hoodies for youths and adults. I'm hoping to send the design out to be made into plastisol transfers.

My question is can anyone give me an idea of how to guess on the total amount of hoodies and t's to buy? I want to make sure I dont run out but at the same time I don't want to have too many left over. My husband wants to have 2 different colored long sleve t's and hoodies, sports grey and black . He said that these are pretty common colors and if we have some left over it won't be difficult to sell in the future. I guess what I'm looking for is to see if there is a formula that's used to figure out how many to buy or just order and hope you're close.

Please advise me on your experience. I've done a search and read A LOT but nothing was ever really said about how much to buy.

I think that's because there's no real hard formula. We really can't say how many people will buy at your event.

There have been a few experiences posted about what other people bought for their events: events related topics at T-Shirt Forums

But it would be hard to say how many people are going to be buyers at your particular event.

If it were me and I knew that there would be around 400 people there, I'd have around 100 items to sell total. If you undershoot, you'll know for next year, if you overshoot you won't have to much leftover inventory. You never know what people will do. You might not have a single sale, or you might sell all 100 in the first 30 minutes.

How many different designs are you going to offer? Are you the only vendor selling gear at the event? Do you have future events planned so inventory moves on to the next show? What is the sport and age group targeted? How many transfers do you think you can actually apply in a given amount of time? Are you prepared for bad weather?????

Right now we will offer 1 logo in 2 different sizes, adult and youth. We will also have a custom cut transfer for the back with all of the kids names on it for a price of course. We do have another event around the same time as this one but it's still in the planning stages. We will be the only vendor and the event will be indoors power and a space is being provided. The age group is going to be 8-11 yr olds and their parents. We have an event advisor who has been guiding us on how they have been done at other events but not how many on average were sold. As for the amount of tranfers I can do... 12-15 an hour I think. I plan on having 20 of the youth and adults done to begin with and as we sell them I will make more.

What is a custom cut transfer with all the kids names? Are you talking about heat transfer vinyl or a digital print? Initially you mentioned plastisol transfers. Just wondering exactly what you plan on offering. Keep it simple if you are the only vendor. Why dont you ask the event advisor how many tees are sold? What is an event advisor?

Sorry, I'm still very new to this. All of the kids names would be on a heat transfer vinyl. An event advisor is the person who organizes all of the vendors and helps set up the event. They have done lots of these events in the past and we have asked how many they sold in the past BUT they have no concrete number to go off of. All they have said is that most of the kids and parents would want a shirt or a hoodie.
I do want to keep this simple and that is why I'm here to get advise.

Remember weeding time is everything at events. You just physically arent going to be able to weed every roster of every team over and over again per shirt. You might be able to do individual names but even that will be a time killer. I would push the transfers and charge a mighty upcharge for the individual names. Time is money.

Also, it takes a lot of patience and good luck to get everything to stick everytime when you have artwork with a lot of small pieces or lettering.

a friend of mine (who help me get started) does tournaments and his formula is 25% of total participants. so a swim meet of 600 swimmer he would take about 150 shirts and he swears by it. but some of the other items he sells like pants, mousepads and few others things is hard to predict.
