Default organized system

I'm currently working from home and have been for a few years now but I'm soon to be moving into premises. I will be taking on a member of staff to help with the everyday running of things. I need a new organized system which is easy to understand, has anyone got ideas about how to keep customer information sample of their designs and various other things that is needed to know.I use wilcom and have customer information on index cards, has anyone got better ideas and how do you store customers stitched samples for easy accesss.

You probably already do this but we do a sample sew-out on felt (closest color to fabric color) for each logo (including different color options they may have). This is kept in a folder along with all sew-out information, garment information, hooping notes, pricing & customer contact information. We also do a "profit" sheet for each order so we know exactly what profit was made.

Thanks Jennifer,

I tend to keep all information on index cards but the stitched samples elsewhere, i thinks its a better idea as you have suggested to keep everything in 1 folder and then file that.

We've been using an 8.5" x 11" piece of index or card stock. We call them "Location cards". In addition to customer information they include both sewouts and printouts of the design, all elements in sequence, digital file location on the server, embroidery location, color combinations. Essentially everything about the punched file.

We have an in house art and offset department to create and print our forms. And the cards are filed alphabetically by customer name. We have never lost a design or color combination in my 6 years.
